    Viking EMEA is actively expanding and to enhance our position on the market we are looking for the right person to join the team as the HR Assistant.

    This is a great opportunity to start or develop your career in HR within a supportive, international environment.

    In this role, you’ll work closely with our HR team, supporting both recruitment and day-to-day HR administration. You’ll gain hands-on experience across a variety of tasks, learn from experienced colleagues, and grow your skills along the way.

    Responsibilities:

    Recruitment:

    • Help post job openings on different platforms
    • Review applications and identify suitable candidates
    • Coordinate interviews with candidates and hiring managers
    • Keep our applicant tracking system (ATS) up to date
    • Stay in touch with candidates and keep them informed throughout the process

    HR Administration:

    • Maintain and update employee records
    • Support the preparation of payroll-related reports
    • Check and follow up on timesheet accuracy
    • Assist with general day-to-day HR administrative tasks

    Occasionally you need to step in to support general office administration tasks, as part of our small team where everyone helps each other when needed (during vacations and other absences).

    Location & Package

    This is an office-based role in Luxembourg, with no travel required, reporting directly to the HR Director.

    As an entry-level position, we welcome candidates who may be at the beginning of their HR journey. We value potential, attitude, and willingness to learn as much as experience—our compensation reflects the junior level of the role, and we invest in helping you grow.

    Qualifications and experience:

    • Some experience in administrative roles is helpful (HR, recruitment, or payroll exposure is a plus, but not essential)
    • Comfortable using MS Office (Word, Excel, Outlook)
    • Fluent in English and French; and additional European languages are welcome

    • Well-organised with strong attention to detail
    • Positive, hands-on, and ready to support wherever needed
    • Friendly and service-oriented, with a proactive mindset
    • Strong communication skills, both written and spoken
    • Able to handle sensitive information with care and confidentiality
    • Flexible and comfortable managing multiple tasks
